Informational Pop-Ups in Clerk

We receive many calls for assistance regarding which option to choose for fields such as Purchased Date, Body Style, Make, List Price, etc. when processing a title and/or registration. Did you know that there are Informational Pop-Ups within the Clerk software to assist you in determining what to use?

Upcoming Fiscal Period Close for Those with Optional June 30 Fiscal Year End

Remember that the Avitar Tax Collect system has a hard fiscal year end close, which means you cannot process work in the next fiscal year until the previous fiscal year has been closed. So in preparation for the end of June, we recommend that those of you who use June 30 as your Fiscal Year End follow the links below for guidance on what to plan for and expect.

While some of these are from previous years, the information about the process is all still applicable. Please remember when utilizing our online documentation, blog posts, and FAQs for your June 30th Year End process, you will need to swap out the fiscal year dates of January 1 – December 31 for July 1 – June 30.

Upload Dog Invoices to Invoice Cloud Reminder

With dog licensing late fees coming into effect on June 1st, we thought this would be an opportune time to remind you to update dog invoices to your Invoice Cloud portal for online payment.

Avitar Clerk is programmed to include the $1.00 late fee for unlicensed dogs on the first of each month, beginning on June 1st. However, Invoice Cloud will only include the late fee if you upload that information to your online portal. So, to avoid errors in your online batches, you will need to upload dog invoices more frequently.

First Property Tax Warrant for 2024

The majority of you will soon receive your first Property Tax Warrant of 2024 (i.e. 2024P01). Whether you are brand new to the position, or you are a seasoned Collector, familiarizing yourself with the Warrant Process ahead of time will set you up for a smoother process.

We have created simple, step-by-step instructions for each of the following topics within the Warrant Process: Import Warrant, Assign Credits to Warrant, and Print Tax Bills. At the bottom of each page there is a link to move you on to the next step. For example, the Import Warrant topic page has a link at the bottom titled Assign Credits to Warrant, which will bring you to that topic, and coincidentally the next step.

Purge of Paid Invoices in Collect

Some towns have been using the Avitar Tax Collect system for years and may have as many as ten years worth of paid invoices, receipts, and transactions in their current database. Invoices, receipts, and transactions are created through the normal processes of being a Tax Collector — importing warrants, creating supplements, posting receipts, and processing abatements. Over time, if you do not purge your paid invoices, not only will the tree view lists grow and become cumbersome to navigate, but the added data will cause your system to run slower when generating reports and creating deposits.

The Town Settings | Fiscal Year tab allows you to manually Purge Paid Invoices from your current year database to your prior year database. If you have never purged paid invoices before or if you have any questions, please call us BEFORE you begin the purge process.

Titling & Registering Municipal Vehicles

March is coming and that means Town meetings are just around the corner as well. Budgets are going to be voted on, and with the passing of these budgets, many departments within the town will be purchasing new vehicles that need to be titled and registered.

Vehicles owned by local/county government (e.g. municipalities) are not subject to title fees or registration fees for as long as they are owned by the municipality. They are, however, subject to the initial cost of the metal plate(s). It is important to make the correct choices along the way to be sure the only fee due from the town is the initial cost of the metal plates, if they are being ordered.
